The following policy sets forth how TaxPay Inc. (dba: Remitian) (the “Corporation”) collects, uses and discloses the information provided by users, including but not limited to accountants, accountants’ firms, and any end-users of those services (“Users”) of the TaxPay Service, defined below. This policy applies to TaxPay.ai, Remitian.com and any websites related to operation of, and the registration to the Corporation’s software (the “Website”) where Users receive timely reminders and can opt to pay taxes owing to Canada Revenue Agency (“TaxPay Service”). By using or accessing the TaxPay Service, you are accepting the practices described in this Privacy Policy.
The Corporation collects identifiable information, including, but not limited to, name, company name, telephone numbers, postal and e-mail addresses and bank account information relating to the User, and any other identifiable information that the Corporation may reasonably require in order to provide services to the Users (“User Information”). Users who use the TaxPay Service may be assigned usernames and passwords, all of which are used to identify the Users when they are using TaxPay Service. The corporation also collects information related to tax installments (amount, due dates and Internal Revenue Service (“IRS”) account number(s)) that must be paid by the User.
The Corporation may also collect names, postal or e-mail addresses, and phone numbers of non-User visitors to the Website who have provided their identifiable information.
The Corporation may retain copies of any communications the Corporation sends to or receives from Users and other visitors to the Corporation’s site for its records but will not use any such information except in accordance with the terms hereof.
The Corporation’s web server collects and saves the default information customarily logged by world-wide-web server software. Specifically, for each request received via our website, the date and time, the originating IP address, the object requested, and the completion status of the request is collected and saved.
The Corporation may analyze these logs to determine the traffic through the server in hits, the number of pages served, and the level of demand for pages of interest. The Corporation may also analyze logs to detect misuses / fraudulent behaviour and determine other statistics that may be of value to the Corporation.
Users upload content on the Corporation website at their own risk. The Corporation cannot control the actions of Users and the information that they provide. Therefore, the Corporation cannot and does not guarantee that User’s content uploaded on the Corporation’s website will be accurate. Users acknowledge that, even after removal, copies of User’s content may remain viewable in cached and archived pages.
The Corporation may utilize the information submitted by Users to authenticate and/or verify the identity of such Users who may be communicating with the Corporation. The Corporation may use the information it collects during the registration process, and other information it collects while authenticating the identity of Users to conduct security and monitoring.
The Corporation may use information it collects from Users, including but not limited to the Users’ emails, in connection with providing the Services and may be shared with third parties for the purposes of providing the TaxPay Service, for example: for the purposes of payment processing. The Corporation may use such information to operate, maintain and enhance the TaxPay Service and other services and products offered by the Corporation. The Corporation may also use information it collects to send reminders to Users of tax installments that must be paid. Where the User has opted in to do so, TaxPay, will use banking information to withdraw funds to pay taxes to the CRA. The Corporation also uses User information to monitor compliance with applicable TaxPay rules and policies.
The Corporation may compile and analyze its User information into aggregated research reports. Except as may be otherwise agreed in a separate agreement between the Corporation and the User, the Corporation may share this aggregated data with its business partners.
Upon written request, the Corporation will provide to the User a summary of any User Information retained by the Corporation regarding the User. Users have a responsibility to keep their information current. Users may correct, change, or update the User Information and information about their authorized representatives by notifying the Corporation in writing of such change or by inputting the updated information into the Website TaxPay Service. The Corporation undertakes to use its best efforts to correct the User Information within a reasonable time after receipt of the User’s request.
The Corporation and its authorized representatives have access to the User Information, including content, and the E-mail List. The Corporation shares User Information with third parties when the Corporation has permission from User, when the Corporation believes in good faith that the law requires it, or under the circumstances described below.
The Corporation may disclose User Information when the Corporation has reason to believe that disclosing User Information is necessary to identify, contact or bring legal action against someone who may be violating the Corporation’s Terms of Use or may be causing injury to or interference (either intentionally or unintentionally) with the Corporation rights or property, other Users, or anyone else who could be harmed by such activities.
The Corporation reserves the right to access, read, preserve, and disclose any information as it reasonably believes is necessary to satisfy an applicable law, regulation, legal process or governmental request (including in pursuant to subpoenas, civil investigative demands, or similar processes); enforce its contracts or user agreements, including investigation of potential violations hereof; and detect, prevent or otherwise address fraud, security of technical issues.
The Corporation may share non-identifiable User Information with any third parties. From time to time, the Corporation may retain the services of third-party service providers and consultants. The Corporation may allow these third parties to access User Information on a need-to-know basis.
The Corporation will keep User Information for as long as it remains necessary for the identified purpose or as required by law, which may extend beyond the termination of its relationship with Users. The Corporation may retain certain data as necessary to prevent fraud or future abuse, or for legitimate business purposes or as required by law. All retained User Information will remain subject to the terms of this Privacy Policy.
The Corporation’s website may use cookies to recognize each User as an authorized user of the TaxPay Service and allow the Corporation to provide customized services and improve the performance and usability of any Corporation’s websites. The Corporation may offer certain features that are only available through the use of a "cookie". A User is always free to decline our cookies if its browser permits, although in that case such User may not be able to use certain features on all the Corporation’s websites.
By becoming a User, each User agrees that the Corporation may collect certain information (as detailed in this Privacy Policy) from and about the User to authenticate the User and enroll the User as a user of the TaxPay Service, if applicable. If a prospective User does not agree to this Privacy Policy, it may not become a User.
The Corporation may offer a User during registration or, through a follow-on email, the opportunity to receive offers and information about products and services from the Corporation and its partners that the Corporation believes may be of interest to the User. The User will be provided a choice whether to accept or not accept this offer. If the User accepts, the Corporation (or agents working on behalf of the Corporation) may occasionally send the User such information. If this offer is not accepted, then the User will not receive such information.
The Corporation reserves the right but is not obligated to contact Users regarding account status and changes to the TaxPay Service, this Privacy Policy, or any other policies or agreements relevant to a User.
The Corporation takes protective measures related to information security within the TaxPay Service to ensure the confidentiality of sensitive User Information while stored, in transit, or in use within the TaxPay Service.
This Privacy Policy covers exchanges of information within the Corporation website and through User mailings. The Corporation’s website may contain links to other sites, but the Corporation is not responsible for the privacy practices or the content of such sites. The Corporation encourages Users to be aware when they leave the Corporation’s website to read the privacy statements of each and every website that collects personally identifiable information. This Privacy Policy applies solely to information collected by the Corporation.
The Corporation may update this Privacy Policy and will post the changes to the Privacy Policy on its website. Any change to this Privacy Policy will become effective upon posting on the Corporation’s website unless otherwise agreed with User in writing. Continued use of the Corporation’s website and/or TaxPay Service following such period will mean that the User accepts such changes, which shall also bind its authorized representatives. If a User does not agree to any such change, it must cease using the Corporation’s website and/or TaxPay Service.
This section provides additional details about the Personal Information we collect about California consumers and the rights afforded to them under the California Consumer Privacy Act (the “CCPA”).
For more details about the information the Corporation has collected over the last 12 months, please see the section “Collected” above. We collect personal information for commercial purposes described in the section “Use of Collected Information” above. The Corporation will only share this information when you make a customer support query to another organization, which is a Customer of the Corporation, and which uses the TaxPay Services to assist their customer support function. The Corporation does not sell (as that term is defined in the CCPA) the Personal Information we collect.
Subject to certain limitations, the CCPA provides California consumers the right to request to know more details about the categories or specific pieces of personal information we collect (including how we use and disclose this information), to delete their personal information, to opt out of any “sales” of personal information that may be occurring, and to not be discriminated against for exercising these rights
California consumers may make a request pursuant to their rights under the CCPA by contacting us at privacy@taxpay.ai. We will verify your request using the information associated with your account, if available, including email address. Government identification may be required. Consumers can also designate an authorized agent to exercise these rights on their behalf.
